Seventeen stages, one transaction file

Your reservation is the primary record. Every contract, payment, release, return, statement, and refund attaches to it, so at any point you can see exactly where the transaction stands and what is waiting on whom.

Requested

Requested by the customer. The vehicle is reserved once the booking fee is in and confirmed by staff.

Booked

Confirmed by staff and holding the vehicle on the calendar.

Out

Vehicle has been released and is with the customer.

Returned

Vehicle is back and inspected; the final account is being settled.

Closed

Everything is settled and the transaction file is archived.

How the money is handled

1 · Down payment

Confirms your reservation. Recorded as a payment transaction with its own reference, amount, date, status and receipt.

2 · Charges after return

Mileage, fuel, late hours and any authorized damage are billed after the vehicle is back, each citing the inspection or damage record behind it.

3 · Final payment

Settles the actual charges after return. Your down payment is deducted from the final rental charges to give the balance due.

Final Rental Charges = Base Rental + Extensions + Excess Mileage + Fuel + Late Fees + Authorized Damage/Other − Discounts
Balance Due = Final Rental Charges − Verified Down Payment

Every figure on the right of those lines traces back to a recorded reading, an approved extension or an authorized damage assessment.
